With ACT Premium Cloud, you can easily schedule calls for multiple contacts using a simple lookup and some helpful settings. Let’s dive into the steps.

Step 1: Configuring Activity Settings: Before we begin, ensure you have a specific activity setting checked in ACT Premium Cloud. This setting allows you to create separate activities when scheduling calls with multiple contacts. To set this up, follow these steps:

  1. Click on “Tools” in the top menu.
  2. Scroll down and select “Preferences.”
  3. In the “Preferences” dialog box, click on “Activities.”
  4. For the “Call” activity, check the box that says “Create separate activities when scheduling with multiple contacts.”
  5. Click “OK” to save the changes.

Step 2: Doing a Lookup: Now that the activity setting is configured, you can proceed with the lookup process to identify the contacts you wish to schedule calls with. In this example, we have 79 contacts in the lookup.

Step 3: Scheduling the Call: With the lookup ready, you can schedule the sales call for the selected contacts. Here’s how:

  1. Click on the “Call” option in the top menu.
  2. The “Call Activity” dialog box will appear, showing the name of the current contact (e.g., Michaela Jzip).
  3. Click on the dropdown menu next to the contact’s name, and select “All.”
  4. This will populate the dialog box with all the contacts from your lookup (79 in this case).
  5. To add all contacts at once, click on the double arrows to move them to the right-hand side of the dialog box.
  6. Set the date and time for the call, and specify the call duration.
  7. Enter a descriptive title for the call (e.g., “Sales Call One”).
  8. Add any necessary notes if needed.
  9. Click “Save” to schedule the call for all selected contacts.

Step 4: Confirming the Schedule: To ensure all the calls have been scheduled, you can check your task list on the left-hand side of the screen, which displays all the scheduled calls for your contacts.
