Introduction: Hello everyone, I’m Tony Holowitz, and in this tutorial, I will guide you on how to efficiently schedule and clear activities in Act. As your database grows and you start working with it, scheduling activities becomes essential to manage your tasks effectively. Act offers a user-friendly interface to schedule three primary activities: calls, meetings, and to-dos. Let’s explore how you can schedule these activities, clear completed tasks, and maintain a comprehensive history in Act.

  1. Scheduling Activities in Act:

    • At the top, you’ll find icons for call, meeting, and to-do. Click on the relevant icon to schedule the corresponding activity.
    • The dialog box for scheduling activities is similar for all three types, making it easy to use.
  2. Scheduling a Phone Call:

    • For instance, if you want to schedule a phone call with John Adams, click on the “Call” icon.
    • Choose the date, time, and duration of the call. You can also add a description of the call in the “Details” section.
    • Optionally, you can set an alarm to remind you of the scheduled call.
  3. Utilizing the Task List:

    • Once the activity is scheduled, you can access it through the activities tab of the contact’s record or on your calendar.
    • The task list also displays your scheduled activities and upcoming tasks.
  4. Clearing Completed Activities:

    • When you’ve completed a scheduled activity, it’s essential to clear it to maintain accurate records.
    • Simply mark the activity as “Completed” by checking the box next to it.
    • This action will update the date of completion, creating a record of the completed activity.
  5. Importance of Clearing Activities:

    • Clearing activities is vital because it allows Act to record and track your interactions with contacts.
    • This contact-centric approach ensures that all activities are associated with specific contacts, providing a comprehensive history of your engagements.
  6. Creating a Historical Record:

    • As you schedule and clear activities regularly, Act automatically creates a history of your interactions.
    • This historical record becomes invaluable for tracking past interactions and managing future tasks effectively.

Conclusion: Scheduling and clearing activities in Act is a straightforward process that enables you to manage your tasks efficiently. By utilizing the three primary activity types and clearing completed tasks, you can create a detailed historical record of your interactions with contacts. This feature is essential for effective contact management and staying on top of your daily tasks.
