by | Aug 2, 2023 | Act CRM Software Fundamentals

Introduction: Welcome to Part 1 of our tutorial series on working with contacts in ACT Premium Cloud. In this session, Tony Holowitz will guide you through navigating contacts in both List View and Detailed View. You will learn how to customize the List View, add and remove fields, and quickly switch between different contact views. Let’s dive in!

  1. Accessing Contacts in ACT Premium Cloud:
  • Upon logging in, you’ll notice the “My Record,” which represents your contact information as the owner of the database.
  • To view all contacts in the database, click on “Lookup All Contacts.”
  1. List View and its Benefits:
  • In the web version of ACT, when you perform a lookup with multiple contacts returned, it doesn’t automatically switch to List View as in the desktop version.
  • To access List View, locate and click on the “ListView” option on the right-hand side of the screen.
  1. Resizing Columns in List View:
  • In List View, you may find some columns crowded or too narrow to display all information effectively.
  • To resize columns, hover your pointer over the lines between column headings (e.g., Company, Contact, Email) and click, hold, and drag to the desired width.
  • Adjust the columns for better visibility and organization of data.
  1. Customizing Columns in List View:
  • You can customize the columns displayed in List View to suit your preferences and needs.
  • Click on the “Customize Columns” icon on the far-right side of the screen to access the available fields.
  • To remove a field from the List View, click on the field name and use the single arrow to move it back to the left column.
  • To add a field to the List View, locate the desired field (e.g., ID Status) in the left column and use the single arrow to move it to the right column.
  • Once you’ve adjusted the columns to your liking, click “OK” to apply the changes.
  1. Keyboard Shortcuts for Web Browsers:
  • For a cleaner view and more screen real estate in the web browser, use the “F11” key as a keyboard shortcut.
  • To zoom in and make the content larger, hold down the “Ctrl” key and press the “+” sign.
  • To return to the original size, use the “Ctrl” key and press the “-” sign.
  1. Navigating to Detailed View:
  • To view detailed information about a specific contact, simply click on the contact’s name.
  • You will be redirected to the Detailed View, where all the contact’s associated information is displayed.
