Act4Mail Setup and Configuration

by | Aug 7, 2023 | Act CRM Software Fundamentals

Introduction: Hello, everyone! I’m Tony Holowitz, and in this tutorial, I will guide you through the process of setting up and configuring Act4Mail for Act Premium Cloud. Act4Mail is a powerful tool designed to connect Act Premium Cloud with Microsoft Outlook, facilitating the seamless integration of incoming and outgoing emails. Unlike its desktop counterpart, Act for Outlook, Act4Mail is specifically tailored for the web-based version of Act Premium Cloud or Act hosted in the cloud. Let’s dive in and explore the steps required to make Act4Mail work for you!

Step 1: Download and Install Act4Mail: To begin, download and install Act4Mail on your system. Once installed, open Microsoft Outlook, and you should see two icons at the top: “Act4Mail Settings” and “Act Database Settings.”

Step 2: Configuring Act4Mail Settings: Click on the “Act4Mail Settings” icon to open a dialog box. In this box, you’ll need to provide four pieces of information:

  1. Web URL or API: For Act Premium Cloud users, enter the Act API URL (as of February 2023) here.
  2. Database Name: Input the name of your Act Premium Cloud database.
  3. Username and Password: Enter the login credentials for your Act Premium Cloud account.

Once filled, click on “Login” to run a test and ensure the settings are correct. This step is crucial for successful integration.

Step 3: History Recording Settings: Next, configure the history recording settings. Choose what information you want Act4Mail to record, such as the email subject and body. You can also decide whether to include email attachments and whether to attach emails sent from other devices, like mobile devices.

Step 4: ACT Database Settings: Now, click on the “ACT Database Settings” icon to access additional options:

  1. Contact Field Mapping: Map fields to match contacts in Act. Focus on unique identifiers like email addresses for seamless integration.

  2. Activity Settings: Specify how incoming activities should be set. Note that there may be some quirks to address, like changing “Call” to “Meeting” for certain activity types.

  3. History Settings: Decide what type of history should be recorded. We recommend using “Email Auto Attach” for efficient email tracking.

  4. Contact Exclusion Settings: Utilize this feature to exclude certain contacts from email attachment based on specific criteria, like an opt-in field indicating the contact does not want to receive emails.

Conclusion: By following these steps, you can set up and configure Act4Mail to seamlessly connect Act Premium Cloud with Microsoft Outlook. Enjoy the benefits of easy email tracking and integration, making your workflow smoother and more efficient. If you have any questions or need further assistance, feel free to reach out to me.
