Sending Individual Emails from Act: To send an email to an individual contact in Act, you can simply click on the email address on the Act screen. This action will open Microsoft Outlook and populate the email address field with the recipient’s email. Ensure you select the correct email address to avoid mistakes.
-
Sending Emails to Multiple Contacts from Act: Sending emails to multiple contacts can be done in two main ways in Act:
a. Manually: Highlight multiple contacts by holding the Shift key and clicking on each contact, then click the email icon. This will open Outlook and add the email addresses in the “To” field. Always remember to move these addresses to the “BCC” (blind carbon copy) field to ensure privacy and avoid disclosing recipients’ email addresses to others.
b. Mail Merge: Use the Mail Merge feature to send personalized emails to a group of contacts. With this method, Act will send individual emails to each contact, preventing email addresses from being visible to others.
- Considerations When Emailing from Act: When sending emails from Act, it’s essential to consider certain factors:
a. Email Service Provider (ESP) Limitations: Be aware of the limitations set by your ESP, especially concerning blind carbon copy (BCC) emails. Some providers might have restrictions on the number of BCC emails sent at once.
b. Mail Merge for Mass Emails: Mail merge is an effective way to send mass emails while maintaining individual privacy. You can send personalized emails to a large group without exceeding your ESP’s limitations.
c. Act Email Marketing and Swift Page: Act offers two built-in email options—Act Email Marketing and Swift Page. These options allow for in-Act email campaign creation and tracking. However, keep in mind that Act Email Marketing doesn’t automatically update the last email field, whereas Swift Page does.
- Third-Party Tools for Email Management: Consider using third-party tools like BananaTag and Outlook Integrator to enhance your email tracking and organization:
a. BananaTag: This service integrates with Microsoft Outlook and provides detailed information about email opens and interactions.
b. Outlook Integrator: This tool can automatically attach incoming emails to the corresponding Act contacts, ensuring your communications are always linked to the right records.
Conclusion: Effectively using Act CRM’s email features can significantly enhance your email communication and customer relationships. By applying the tips and ideas shared by Tony Holowitz, you can optimize your email workflow and make the most out of Act’s email capabilities.
