Hello, ladies and gentlemen! I’m Tony Holowitz, and today we’ll explore a commonly asked question: how do you make a backup of your Act data? Specifically, how to send all your information out to Excel.

Why Export Act Data to Excel?

While there’s a way to request a full backup of your Act SaaS data, that backup file must be opened with Act’s software. Sometimes, you might want to export your field data to Excel instead. Before diving into the process, please note that when you export your information to Excel:

  • You get only the field data, not the underlying notes, histories, and past schedules.
  • The field data includes all the fields you have in Act, including customized ones.

Step-by-Step Guide: Exporting Field Data to Excel

Follow this step-by-step guide to exporting all your Act field data to Excel.

  1. Look Up All Contacts:

    • Go to ‘Look up’ and select ‘All contacts.’
    • For illustration purposes, I’m using my contact info, but in your case, you’ll see all your contacts.

  2. Select Fields to Export:

    • You’ll see a list view of your contacts with headings of fields.
    • Click on the little columns icon.
    • A box will pop up, allowing you to select the fields to export.
    • Click on the double arrows to move all the fields to the other side.
    • They will appear as headings, and you may have to scroll over if there are many.

  3. Export to Excel:

    • Click on ‘XLS’ to export it to Excel.
    • Excel will open, and you’ll see your data there.
    • In my demonstration, I only used the top headings, but you can add all the fields if needed.
