My Act Notes are Missing

by | Aug 1, 2023 | Act CRM Software Fundamentals

Introduction: Hello, ladies and gentlemen! I am Tony Holowitz, and I am here to share a quick and valuable ACT tip. Recently, a client contacted me with a concerning issue – she noticed that all the notes for one of her long-term contacts had gone missing. Fortunately, the solution to this problem was straightforward, and I’m excited to show you how to fix it in this blog post.

  1. Identifying the Issue Upon examining the client’s ACT database, it became clear what had happened. The notes for the contact in question were still present; however, they were not visible because of a simple filter setting that she was unaware of.

  2. Understanding the Filter Setting When you navigate to the “Notes” tab of a contact, you’ll notice that there’s a date filter in place. By default, the filter is set to show only the notes for today’s date. If there are no notes recorded on that specific day, the notes section appears empty, leading to the perception that the notes have vanished.

  3. Fixing the Issue To retrieve the missing notes, follow these steps: a) Access the “Notes” tab of the contact. b) Look for the date filter at the top of the notes list. c) If the filter is set to “Today,” click on it, and select “All Dates.”

  4. Additional Considerations Remember that this filter setting can also impact other tabs in ACT, such as “Activities,” “Opportunities,” and “History.” So, if you encounter missing data in these sections, check the respective date filters and adjust them as needed.

  5. Importance of Filter Awareness This incident highlights the importance of being aware of filters within ACT and other software applications. Filters can be powerful tools for refining data views, but they can also inadvertently hide information if not managed correctly.

Conclusion: In conclusion, if you ever encounter missing notes, activities, opportunities, or history in your ACT database, don’t panic! It may simply be a matter of adjusting the date filter to display the information you need. By selecting “All Dates” instead of “Today,” you can quickly retrieve all relevant data for the selected contact.

Remember, ACT provides numerous useful features, and understanding how to navigate filters will make your experience more efficient and productive. I hope this tip proves valuable to you in your ACT usage. Should you have any further questions or require assistance with ACT, feel free to reach out. Thank you for reading, and have a wonderful day!
